Rally and group bookings: Rallies and groups, booked in one go.

Let a rally, a club weekend or a few families book several pitches for the same dates as one request. You accept it or decline it, and they pay with one link.

How it works.

Included on every plan. Switch it on in Settings when you want it.

01

One request, several pitches

A group asks for the pitches it needs on your website, for the same dates. They’re booked together or not at all, so a group is never left half-booked.

02

You say yes or no

A group from your website is a request until you accept it. Decline it and nothing is charged. Leave it unanswered for 48 hours and it’s let go, and the lead guest is told.

03

One payment link

The group pays for every pitch through one payment link.

04

Priced as each pitch would be

Each pitch costs what it would booked on its own: your season’s rates, extras and any offer.

05

Your rules

Choose which pitch types groups can book, the fewest and most pitches a group can take, and whether a group can book the whole site.

06

One contact for the group

Emails and the stay page go to the lead guest, so the group gets one set of reminders rather than one for every pitch.

07

Club membership numbers

Ask for a club membership number from the lead guest only, or for every pitch.

08

Taken by phone?

Add the group from your dashboard yourself, confirmed or pencilled in as a request.

A six-pitch rally, start to finish.

What happens from the request to the payment, step by step.

01

The request

A club secretary asks for six hardstanding pitches for a Friday-to-Sunday weekend on your website. Each pitch is priced as it would be on its own, and they see the total before they send it, with their own details as the lead guest. Then they confirm it from the email we send them.

02

The pitches are held

Once the secretary confirms the request from their email, all six are held for 48 hours, so nobody else can book them while you decide.

03

You accept

All six are confirmed together. If one has been taken since, say by a booking from another site, you’re told which, so you can move or remove it first.

04

The payment link

As you accept, choose to send the lead guest a link for the deposit, for the whole group, or nothing if they’ll pay on arrival. They get one email.

05

Or you decline

Every pitch is let go at once, nothing is charged, and the lead guest is told.

Questions about rally and group bookings.

Anything else, get in touch and we’ll help.

Group bookings is a feature you switch on in Settings, where you also set its rules. It’s included on every plan.

Yes, if you allow it. Switch on booking the whole site, and a group can take every pitch for its dates.

On Pay As You Go, a group from your website pays the booking fee for each pitch, once you accept it. If they pay by card, it comes out of that payment; otherwise it goes on your monthly charge on the 1st. Decline it and there’s nothing to pay. Groups you add yourself are free, and on Pro there’s no booking fee.

PootlrHost takes the bookings; any rules from your club or your council still apply, so check with your club before hosting a rally.

From when the group confirms its request from their email until you accept or decline, for up to 48 hours. While a request waits, nobody else can book those pitches. If you haven’t answered by then, the pitches are let go and the lead guest is told.
