Group bookings

Group bookings let you book several pitches for one party on the same dates, like a club rally, and let groups ask for them on your website. Switch on Group bookings in Settings › Features.

Adding a group yourself

1. Go to Bookings and tap + Group booking, or tap Add a group booking in the New booking panel.
2. Set The dates. Every pitch in the group is on the same dates.
3. Fill in The lead guest, who’s organising it and gets the group’s emails. Add a Group name if you like, such as “Smith rally”.
4. Under The pitches, choose a Pitch type for each pitch, and a Pitch number or Pick one later. Add who’s coming and any Extras. Tap + Add a pitch for more.
5. Check the total, then choose Booked (confirmed now, and the lead guest gets their confirmation) or A request (pencilled in, with the pitches held until you accept it).
6. Tap Book the group or Save the request.

Requests from your website

Your booking page shows Booking for a group? with a Book for a group button. The guest chooses how many of each pitch type and sends a request, paying nothing yet.

The guest is then emailed a link to confirm the request is really theirs. Until they do, nothing is held and you hear nothing, so nobody can fill your site with requests using an email address that isn’t theirs. Each guest can have up to two requests waiting at once.

Once they confirm, the pitches are held for you, you get an email, and it shows under Needs you on your Today page. You have 48 hours to accept or decline it. If you haven’t answered by then, the pitches are let go, nothing is charged and the guest is told.

To set what groups can ask for, tap Choose what groups can book under the feature in Settings › Features: which pitch types, the Fewest pitches and Most pitches, whether a group can ask for the whole site, and who gives a club membership number. Groups you add yourself aren’t limited by these.

Accepting or declining

Open the group and tap Accept the group. Choose a payment link for the deposit or the whole amount, or No payment link (they pay on arrival, or you send a link later). Every pitch is confirmed together; if one has been taken since, nothing is confirmed and you’re told which.

Tap Decline to let every pitch go. The lead guest is emailed to say you can’t fit them in, and nothing is charged.

The group’s page

• Send payment link: one card payment for every pitch still to pay for. The link works for 48 hours, and sending a new one stops the old one working.
• + Add a pitch: on the group’s dates, if one is free.
• Take out: cancels one pitch’s booking, with any refund. The lead guest isn’t emailed.
• Cancel the group: each pitch is refunded under its cancellation policy, back to the card it was paid with. Pitches already checked in stay as they are.
• Edit details: the name, lead guest and your notes.

Good to know

• Each pitch is a booking of its own, shown on the calendar with a ◆. Open it to check the guest in, move it or change its answers.
• Emails go to the lead guest, once for the whole group.
• Your booking rules, such as a minimum stay, apply to guests’ group requests. When you add a group yourself, you’re told which rules it breaks and can Book it anyway.
• Payment links need card payments set up.
• On Pay As You Go, a group that asks on your website costs £1 for each pitch, taken once you accept: from the group’s card payment, or on your monthly bill if they pay on arrival. Groups you add yourself carry no booking fee.
• Only the owner can refund. When someone on your team takes out a pitch or cancels the group, nothing is refunded, and you can refund each pitch from its booking’s page afterwards.
