Booking rules

Set deposits, cancellation, minimum and maximum stays, arrival days and times, and how far ahead guests can book.

Updated

Booking rules cover what guests pay up front, cancelling, how far ahead they can book, how long they stay and when they arrive and leave. They apply all year, unless a season has its own.

Change a rule

Go to Pitches & pricing › Booking rules. Each rule reads as a sentence. Tap anything underlined, pick an option and tap Save.

Payments and cancelling

  • What guests pay when they book: a set amount, a share of the stay or the full amount. A deposit only applies when you take card payments online. If you don’t, guests pay in full when they arrive.
  • When the rest is taken: with a deposit, choose when they arrive, or 7, 14 or 28 days before. See Deposits and balances.
  • Free cancellation: until the day before, or 7, 14 or 28 days before they arrive. After that, guests get nothing back of what they’ve paid, whether that’s the deposit or the whole stay.

For refunds in steps, like half back up to 14 days before, go to Cancellation policies further down and tap Add a policy. Add Refund steps, each with Days before arrival and What they get back (Everything, A percentage, A fixed amount or Nothing). Guests only see the policy marked Default, so tap Make default on the one you want. A season can use another: see below.

When guests can book

  • How far ahead: 3, 6, 12 or 18 months, 2 years, or no limit.
  • How late: on the day they arrive, or up to a day, 2 days or a week before.

Arriving and leaving

  • Arrival and leaving times, and minimum and maximum stay. A pitch type can have its own times on the Pitches tab.
  • Arrival and leaving days: tick the days allowed, such as Fridays and Mondays only. Leave them all unticked for any day.
  • Same-day turnover: whether a new guest can arrive the day someone leaves. Pitch types can be set differently.

Different rules for a season

Under Different rules for a season, tap a season to give it its own stay lengths, booking window, arrival and leaving days, deposit or Cancellation policy, then tap Save for this season. Anything you leave blank uses the rules for the rest of the year: with no arrival or leaving days ticked, the season uses your usual days. A stay follows the rules of the season its first night falls in.

Your booking terms

Guests see your booking terms before they book. They’re written for you from these rules and your cancellation policy. To add your own, like quiet hours, use Anything else guests should know (up to 2,000 characters) and tap Save.

Pausing bookings

To stop taking bookings for a while, go to Settings › Your site, tap Change beside Taking bookings and choose Paused. Visitors see a “back soon” page, but guests who’ve booked can still open their guide, stay page and payment links. To close only some dates, see Closing dates.

Good to know

  • These rules are for guests booking online. When you add or change a booking yourself and it breaks one, you’re told which and can go ahead anyway, so a walk-in can still stay tonight.
  • A booking keeps the cancellation policy it was made under.
  • Questions for guests are set up here too: see Booking questions and club numbers.
