Adding a booking

Add a phone, email or walk-in booking yourself, take payment for it, and know what the guest is sent.

Updated

Add a booking yourself when a guest phones, emails or turns up at the gate. It’s confirmed straight away and holds the pitch, the same as a booking made on your website.

Adding a booking

  1. Tap + New booking at the top of any page, or tap an empty day on the calendar.
  2. Under The stay, choose the Pitch. If you want a particular one, choose a Pitch number; leave it on Pick one for me and the first free pitch is used.
  3. Set Arrive and Leave.
  4. If the pitch type is priced per person, fill in Adults and Children. Leave them empty to charge the pitch price alone.
  5. Check the price. Any automatic offer or returning-guest reward is taken off, as it would be online.
  6. Under The guest, use Find a guest you’ve had before, or type a Guest name. Add an Email and Phone if you have them.
  7. Fill in any of Their answers you know. None of them are required here.
  8. Add Notes for yourself if you like. The guest never sees them.
  9. Tap Add booking.

You’re taken to the new booking, so its reference is to hand while the guest is on the phone. Added from the calendar, you stay on the calendar.

How the guest pays

A booking you add is set to be paid on arrival, with the whole amount still to pay. From the booking you can:

  • tap Send payment link to email or text the guest a link to pay by card, once card payments are set up. If you take deposits, the link asks for the deposit (see Deposits and balances).
  • tap Mark as paid when they pay you in cash or by bank transfer.

Bookings you add carry no PootlrHost booking fee. If you charge your own service fee with Add it to bookings I add too ticked, it’s on these as well. Card payments have Stripe’s fee taken off.

What’s sent

Once your site is live, the guest gets your confirmation email if you added their email address and confirmation emails are switched on. It has a View your stay button to their stay page. If you use texts and added a mobile number, they get a confirmation text too. Your usual reminders follow. See Automatic emails and texts.

With no email address, nothing is emailed, so give the guest their reference yourself.

You won’t get a new-booking email for a booking you or your team add: those are for bookings made online.

Good to know

  • Your booking rules, such as a minimum stay, arrival days or how late guests can book, are for guests booking online. If the dates break one, you’ll see which, and can tap Add it anyway. So a walk-in can stay tonight even if online guests must book the day before.
  • If the pitch type is priced per person, the party has to fit the pitch.
  • The arrival date must be today or later. To add past stays, import them.
  • If the pitch type is full, or the pitch you chose is taken or closed, you’ll be told and nothing is saved.
  • You can’t add extras or set your own price on a single booking. A group booking lets you add extras to each pitch.
  • Several pitches for one party? Tap + Group booking on the Bookings page instead, when group bookings are switched on.
