The calendar
Read the bookings calendar, add a booking in a gap, move a guest to another pitch and close dates.
Updated
The calendar shows every pitch down the side and the days across the top, so you can see who’s where and what’s free. Use it to add a booking in a gap, move a guest to another pitch or close dates.
Finding your way around
Go to Calendar in the menu. Each pitch has its own row, grouped under its pitch type.
- Choose Week, Two weeks or Month to change how many days you see. Phones open on a week, bigger screens on two weeks.
- Use the arrows to go earlier or later, and Today to come back.
- Tap All pitches or a pitch type, like Grass or Tents, to show only those rows.
- The Full row at the bottom counts how many pitches are booked or blocked each night.
What the colours mean
- Solid dark green: Confirmed.
- Lighter green: Checked in.
- Dashed outline: To confirm, a booking request you haven’t answered yet. See Booking requests.
- Grey stripes: Blocked, dates you’ve closed.
- A small dot on a booking: Balance due.
- A red !: a possible double booking. Tap the booking to sort it out.
- Letters such as PU say which booking site it came from (PU is Pitchup). A ◆ before the name means it’s part of a group.
On a phone, tap What the colours mean to see the key.
Looking at a booking
Tap a booking to see its dates, total, payment and where it was booked. From there, tap Open full booking, Send payment link if a balance is due, or Confirm booking, Check in or Check out when it’s time.
Adding a booking
Tap an empty day on a pitch, type the guest’s name, set the nights and tap Add booking. For an email, phone number or notes, tap Add email, phone and notes (on a pitch type priced per person, it reads Add who’s coming, email, phone and notes). See Adding a booking.
Moving a booking to another pitch
You can’t drag bookings. Instead:
- Tap the booking.
- Under Move to another pitch, choose a pitch. Only pitches free for the whole stay are listed.
Moving to a pitch of the same type keeps the price. Moving to another pitch type asks first and shows the new price: tap Move booking to go ahead. Moving a guest off a pitch they chose on your site map asks first too. Both times, Email the guest to tell them what’s changed is ticked, so they hear about it. A booking from another booking site can only move to another pitch of the same type here. To change the dates, use Edit booking on the booking itself (see Changing a booking).
If a booking hasn’t got a pitch yet, a note at the top of the calendar says so. Choose one under Put them on.
Closing dates and pitches
Tap Block dates to close one pitch, a pitch type or the whole site. Your closures are listed under Upcoming closures. Closing dates explains it all.
Tap a pitch’s name to rename it, close it, add a note or see what’s coming up on it.
Good to know
- Bookings run from arrival afternoon to departure morning, so one pitch can turn over on the same day.
- Cancelled bookings, no-shows and guests who’ve checked out aren’t shown.
- For a list you can search, filter and tap Download for Excel, go to Bookings.
