The waiting list for full dates
Let guests ask to hear when full dates free up, and see who’s waiting.
Updated
When a guest finds the dates they want are full, they can ask to hear if something frees up. If a cancellation or change makes room, PootlrHost emails them a link to book. You don’t have to do anything.
What guests see
On your booking page, when every pitch is full for their dates, or the pitch type they want is, guests are offered a short form instead. They give their name and email, choose a pitch type or Any pitch where there’s a choice, and tap Tell me if it frees up.
They’re told nothing is held, so they should book soon when they hear. If there’s room for those dates after all, they’re asked to book instead. One email address can wait on up to 3 sets of dates at your site, and asking again for the same dates updates their request rather than adding another. Your list takes up to 50 new requests a day, and a web address typed into the name is left out, so nobody can use your list to send your emails to strangers.
What happens automatically
Every 15 minutes, PootlrHost checks whether anyone’s dates now have room, whether from a cancellation, a booking moved, or dates you’ve reopened. Cancellations on other booking sites count too, once their calendars have been read.
When there’s room, everyone waiting for those dates is emailed once, with the subject “Your dates at [your campsite] have freed up”. The email says which pitch has come free and links to your booking page with their dates and party filled in. Nothing is held for them, so the first guest to book gets it.
Seeing who’s waiting
- Go to Bookings and tap Waiting list. The button shows how many are still waiting.
- Under Waiting you’ll see each guest’s name, dates, pitch type, party size and email, and when they asked.
- Under Emailed or past are guests who have been told there’s room, and anyone whose dates have passed.
Tap Remove to take someone off the list. They aren’t told. You can also tap their email address to write to them yourself.
Switching it off
The waiting list is on to start. To turn it off, switch off Waiting list in Settings › Features. Guests then can’t join, and nobody already waiting is emailed while it’s off.
Good to know
- Emails only go out while your site is live. A paused site, or one not live yet, doesn’t send them.
- A guest who has been emailed won’t be emailed again for the same request, even if the space goes and frees up a second time.
- The list shows requests whose dates ended up to 30 days ago. Older ones drop off the page.
- See Cancelling a booking and Closing dates for what frees up dates.
