A Saturday in August, and everything that happened while you got on with the day.

The Today screen on a phone: today’s arrivals, a booking request to confirm, and what a guest still owes
06:10Bookings

You’re mowing the field. A family books pitch 4 for the bank holiday.

They saw live availability, picked their dates and a pitch, and paid a deposit by card, so the booking was confirmed there and then. Your minimum-stay and arrival-day rules applied themselves.

A guest’s stay page on a phone, with their booking, what they’ve paid and a way to message the site
06:11Payments

The deposit is in your Stripe account. The balance can collect itself.

Card payments go through Stripe to your own bank, and the balance can be taken from their saved card before they arrive. Stripe is the card company that takes the payment and pays it into your bank, as often as you choose in your Stripe account, and your own Stripe account is free to set up when you start taking card payments. Guests who’d rather pay on the day send you a request to accept instead.

The Today screen on a phone: today’s arrivals, a booking request to confirm, and what a guest still owes
07:30Today

Over a cup of tea, Today shows who’s arriving, what’s still owed and the weather.

It’s the first screen you see when you open PootlrHost on your phone, with anything that needs you at the top.

A pitch type on a campsite website, on a phone: its photos, what’s included, who it sleeps and a Book bar
09:30Website

Someone finds your website and books the last hardstanding.

Your website shows each pitch type with its own photos and what’s included, and how to find you. Booking is built into every page, so browsing turns into booking without an email in between.

Messages on a phone: a guest asks to bring a second dog, with the owner’s reply ready to send
11:15Messages

A guest asks if they can bring a second dog.

Their message arrives in Messages, your inbox for every guest, with their booking beside it. You reply from your phone, and they see it by email and on their stay page, the page with their booking on it.

Adding a phone booking on a phone: the pitch, the dates and the price, and finding a guest who has stayed before
13:45Bookings

A regular rings. You add their booking from your phone.

Phone and walk-up bookings go in the same calendar as online ones, with no booking fee. Bookings from Pitchup, Hipcamp and Airbnb come in too, and if two sites ever sell the same night, Today tells you.

On site today on a phone: who’s arriving, their pitch and dates, each with a Check in button
15:00On site today

Today’s arrivals, all in one list.

On site today, the day’s list, shows who’s due, which pitch they’re on and what they still owe. Your staff log in as themselves and see what their role allows.

A guest guide on a phone, with directions, the Wi-Fi and the gate code
16:20Guest guide

Guests find their pitch without knocking on your door.

Their guest guide has directions, what3words, a map of the site with their pitch marked, the Wi-Fi password and the gate code from the day before. Once opened, it works with no signal.

A guest’s stay page on a phone, with their booking, what they’ve paid and a way to message the site
21:40Return visits

Last week’s guests are asked for a review. One books again for June.

Review requests go out after each stay, and their stay page has a Book again button with their details filled in.

And the field still got mowed.

Guests pick their own pitch.

Draw your pitches on a satellite photo of your site, or on your own site plan. When guests book, they see which pitches are free for their dates and tap the one they want. Included on every plan.

Keep the booking sites that work for you.

Their bookings come into your calendar, and your availability goes out to them. Only availability is synced: you keep setting prices on each site. How syncing works with each site

Pitchup
With a Pitchup API key, bookings come in within a couple of minutes with the guest’s details, and your availability updates straight away. Without one, link each pitch by calendar link instead.
Hipcamp, Airbnb, Booking.com and more
Hipcamp (including Cool Camping), Airbnb, Booking.com, Campsites.co.uk, Glampsites, Canopy & Stars and any site that can swap iCal (.ics) calendar links sync both ways, pitch by pitch. Calendar sync isn’t instant, so if two sites sell the same night, we flag it on your Today screen and email you.

Standout features.

A few things small sites don’t usually get, all included on every plan.

Also on every plan: reports and a weekly email of what’s coming up, questions about your bookings answered in plain English, logins for your team, event tickets, and more than one campsite from one login. See every feature

What it costs. No surprises.

Two ways to pay for the same product. Start on Pay As You Go and move to Pro when you’re busy.

Pay As You Go
£10
a month
Pro
£25
a month

Pay As You Go is cheaper, until about 26 online bookings a month.

Bookings you add yourself are free on both. Card fees apply on both, and neither takes commission.

On a £300 week’s stay, a booking site taking 15% keeps £45. On Pay As You Go you pay £1, plus Stripe’s £4.70 card fee if the guest pays by card. On Pro, £25 a month covers every booking, and card fees apply on both plans.

Pay As You Go£1 a booking
No monthly fee. Only for bookings guests make online, and a group pays it for each pitch; bookings you add, import or get from other booking sites are free. Card bookings pay it from the payment; pay-on-arrival ones go on your card on the 1st. Cancel, decline or mark an unpaid no-show and it isn’t charged; refund a card payment and it comes back in the same share. Pass the £1 on to guests as a service fee if you like.
Pro£25 a month
For one campsite. No booking fees however busy you get, and no “Bookings by PootlrHost” line on your website, stay page or emails. Or £225 a year, paid upfront: three months free.

Launch offer

Get in early. Keep your price.

Start Pro at launch pricing and the price you start on is yours for as long as you stay on Pro, monthly or yearly. Launch prices won’t be around for ever.

Prices shown are the full price — we’re not VAT-registered, so there’s no VAT to add.

We built what we wished existed.

PootlrHost is run by Sam and Grace, weekend caravanners from Lincolnshire, so we know the other side of the booking form. We’ve towed down single-track lanes in the rain, arrived at CLs with no signal, and tried to book small UK sites that only take enquiries by email or phone.

The owners weren’t behind the times. The tools cost too much, were built for holiday parks, or took a cut of every stay. So we built one for sites with a field, a few hook-ups and someone who’d rather be outside.

Sam and Grace share their own trips, honestly told, with Peggy, their Bailey Pursuit caravan, and their dogs Toby and Teddy, on Pootling with Peggy ↗︎.

Questions owners ask us.

Anything else, get in touch and we’ll help.

No. Every step is written for campsite owners, not developers. If you get stuck, get in touch and we’ll help you finish setting up.

Yes. Add a booking widget to your existing site (a floating Book button, an availability checker, a date bar or a full booking page), or share your booking link. Or move it over: give us its address when you sign up, and PootlrHost brings across its words, photos, logo, pitch types and prices for you to check.

Not to start on Pay As You Go. You can set up your site and add your card later, as long as it’s there before you go live. It’s for the £1 booking fees, and nothing is charged until a guest books online. Card bookings pay the fee from the payment; fees on bookings paid on arrival are charged to your card once a month, on the 1st. If you choose Pro, you add your card then, and the first month (or year) is taken that day.

No. Pay As You Go is £1 per online booking with no monthly fee. Pro is £25 a month for one campsite (or £225 a year), and you can leave whenever you like. Paid monthly, Pro ends straight away; paid yearly, it runs to the end of the year you’ve paid for. Neither is refunded for time already paid.

By card through Stripe when they book, or on arrival if you prefer. Card bookings are confirmed straight away; pay-on-arrival bookings come to you as requests to accept. Stripe’s fee (1.5% + 20p on standard UK cards) comes out of each card payment before it reaches you, and guests pay the same price however they pay. On Pay As You Go, our £1 fee on an online booking comes out of its card payment; when a guest pays you on arrival instead, we add up those fees and charge your card once a month, on the 1st. Cancel a pay-on-arrival booking or decline a request and there’s no fee; refund a card payment and the £1 comes back in proportion.

Yes. Add them yourself, with no booking fee, so phone, walk-up and online bookings all sit in one calendar.

Switch on Other booking sites, then connect them: Pitchup bookings come in within a couple of minutes, with the guest’s details, if your Pitchup account has an API key (otherwise by calendar link), and Hipcamp, Airbnb, Booking.com and any site that can swap iCal calendar links sync both ways, pitch by pitch. Syncing isn’t instant, so if two sites sell the same night, PootlrHost flags the clash on Today and emails you. How syncing works with each site

Yes. Import them from a CSV, using our template or the export from your old system. You check every row before anything goes in, and imported bookings carry no booking fee.

Guests’ card payments go into your own Stripe account and on to your bank, so money you’ve taken is yours. You can download your bookings, with each guest’s contact details, as a spreadsheet whenever you like. There’s no contract, so there’s nothing to unpick. PootlrHost is run by Thokki Digital Ltd, a registered UK company; its details are at the foot of this page.
